How to Set Up and Activate a EVS ProjectThe following describes how to set up and launch a Education Vital Signs (EVS) project. To learn more about the EVS click here. A. Survey Setup1. Go to the Six Seconds Tools Intranet – https://tools.6seconds.org/ – and log in. Check that you have at least 500 credits for an EVS report (your balance is in the top-right corner under your name. If needed, click "credits" to order more). 2. Click the EVS icon on the home page (or the VS tab at the top): 4. Fill in the project setup form: The "Official name" will appear on the questionnaire and report. "Name" and "Description" are just for your reference. Note: the date format is MM/DD/YYYY
Optionally, you may upload a logo for the client (school/organization), and if you are an outside consultant, you may include your logo too: These instructions appear before the survey. Customize the text as needed to include your school name, etc.
In this section, you are defining the groups that will be measured. The first 2 questions can be edited if needed, but are demographics that break up the group into actionable data for a standard EVS. If you have chosen multiple languages for the assessment, you will need to make the same edits for each language. Question 1) What is your role in the school? Please edit the answer options to the roles in your organization. Keep in mind that it is best to combine groups that will not have more than 3 participants. Groups less than 3 will not be added to the report to protect anonymity. For example, School Principles should be grouped with Admin/Staff because there are generally not 3 or more of them in a school. Question 2) What level are you in? This question helps you get a closer look at the student population. Edit the responses to school levels that you will be giving the assessment to. We suggest you leave the option NOT A STUDENT so that the responses are displayed by students at different levels and everyone else in the organization. 3) You can add 5 demographic questions to an EVS. Each demographic question has 24 options. Warning: If you are doing this, please be aware that there must be at least 3 participants in a given demographic to display the information on the report. Fixed Items Free Items In this section, you can add custom questions that relate to your school or organization. Scaled questions (Likert scale) Scaled questions will be displayed on graphs in the report in the "custom questions section toward the end. The questions will look like this in the assessment. Free Text questions (text box) open text questions allows you to collect qualitative data and export it after the project closes The questions will look like this in the assessment. You have the ability to add 18 open text questions and 24 scale questions. Example Custom Items: Teachers create a fun learning environment. (rating) Classroom rules support learning. (rating) At our school, we value different learning styles. (rating) Teachers use a variety of techniques and teaching styles. (rating) Each student is encouraged to learn at her/his own pace/level. (rating) In this school we actively appreciate people of different ages, races, sexual orientations, and life experiences. (rating) Lessons are well-planned. (rating) Our school is welcoming. (rating) The school helps students develop both academic and non-academic strengths in a healthy balance. (rating) Parents are involved in the school. (rating) The school is open to trying new ideas to improve. (rating) The school asked you to take some responsibilities this year (participating, supporting, working, trying hard, etc). To what degree did you do you do so? (rating) The school ensures that each student has someone they can talk to (rating) Students here feel their work is relevant (rating) In your words, what is the school’s vision? On project creation, 500 credits will be deducted from your user account. A confirmation will appear; click OK, then click "Back to list": Your project is now set up. The next step is to invite participants – instructions follow on the next page. Note on previewing: B. Get the Link or Add ParticipantsYou have two choices for sending the link to participants:
Public LinkTo use the Public link method, click the "chain" icon to the right of the project name, and then copy the URL. Paste it into an email to the participants (see below for recommendations). In the Private link method, you need to add participants. For a small number, type each person's first (given) name, then surname, and email – then click Add person: After you have added people (manually or via upload) you will see the list of people in your project. In this example, you can see that no one has been invited (Invited column icons are all red). "Jack Sample" has completed the questionnaire (the icon in "Taken" is green – in this case, it was completed manually by clicking that "chain" icon). You can get any person's individual, unique link by clicking the "chain" icon in the Quest.access column: You will have the opportunity to customize the system-generated email before it sends. If you are using the system to send the invitation email (which is only available in the Private link option), you will see this form to customize the email – you can edit the subject, the start of the email, and the end of the email. In the middle, the system will automatically create the unique URL for each participant (so you could send to 20 people at one time, and each would get his/her unique link). Finally WHEN PEOPLE COMPLETED THE EVS SURVEY, AFTER THE EXPIRING DATE (YOU CAN ALSO EXTEND THE EXPIRING DATE), GENERATE THE REPORT AND DOWNLOAD THE COMMENTS.
Create the Report and Download the comments.
1. Accedi alla Intranet Six Seconds Tools – https://tools.6seconds.org/ – effettuando il log in. Verifica di avere almeno 500 crediti per generare un report EVS (i crediti disponibili sono in alto a desta nell'angolo sotto il tuo nome. Se necessario puoi cliccare su "crediti" per ordinarne ulteriori). 2. Clicca sull'icona EVS sulla home page (o sul tab VS in alto): 4. Compilare il form di set-up del progetto: Nel campo "Nome ufficiale" verrà scritto ciò che dovrà apparire nella pagina del questionario e sul report. I campi "Nome" e "Descrizione" sono ad uso del consulente. Notare: il formato della data è mese/GG/AAAA
Opzionale, puoi caricare un logo per il cliente (scuola/organizzazione), e se sei un consulente esterno, puoi aggiungere anche il tuo logo (compariranno sul questionario e sul report, se possibile utilizza il logo con una buona risoluzione ed uno sfondo chiaro: Queste istruzioni appaiono prima del questionario. Puoi personalizzare il testo come preferisci in modo da includere il nome della scuola, ecc.
In questa sezione definirai i gruppi che saranno oggetto di misurazione. Le prime due domande potranno essere modificate se necessario, sono domande di anagrafica che suddivideranno le informazioni dell'EVS in vari gruppi. Se hai scelto un linguaggio multiplo per l'assessment, dovrai adeguare le modifiche per ogni lingua scelta. Domanda 1) Qual è il tuo ruolo a scuola? Puoi adeguare le opzioni di risposta ai ruoli dell'organizzazione. Tieni in mente che nel caso di gruppi con meno di 3 partecipanti sarà bene unirli insieme dal momento che i gruppi con meno di 3 persone non saranno visibili nel report al fine di garantirne l'anonimato nella compilazione del questionario. Per esempio, il Preside potrà essere raggruppato con la voce Personale Amministrativo/Staff. Domanda 2) In quale classe sei maggiormente coinvolto? Questa domanda aiuta a dare uno sguardo più mirato alla popolazione degli studenti. Puoi modificare le opzioni di risposta per le classi presenti nella scuola a cui si vuole sottoporre l'indagine. Suggeriamo di lasciare l'opzione NON UNO STUDENTE in modo da vedere le risposte per diversi livelli di studenti e per il resto della popolazione scolastica. 3) Puoi includere fino a 5 domande di anagrafica ad un questionario EVS. Ogni domanda di anagrafica può contenere fino a 24 opzioni di risposta. Attenzione: ricordati che dovranno esserci almeno 3 persone all'interno di ciascun gruppo affinché i risultati per quella categoria appaiano nel report. Items Fissi Items liberi In questa sezione, puoi aggiungere delle domande personalizzate pertinenti con la tua scuola/organizzazione. Le Domande aperte in cui si può argomentare la risposta saranno disponibili in un file a parte che di cui si potrà fare il download una volta generato il report. Le Domande con opzioni di risposta (con scala da 1 a 5) saranno invece visibili nel report nella sezione "domande personalizzate" verso la fine. C'è la possibilità di aggiungere fino a 18 domande aperte con testo libero e fino a 24 domande con la scala di risposta. Esempi di domande personalizzate: Gli insegnanti sanno creare un buon clima. (opzioni) Le regole della classe supportano l'apprendimento. (opzioni) Nella nostra scuola si valorizzano stili differenti. (opzioni) Gli insegnanti utilizzano diversi stili di insegnamento. (opzioni) Ogni studente è incoraggiato ad apprendere con la sua velocità e livello. (opzioni) In questa scuola rispettiamo le differenze che siano di razza, orientamento sessuale o per esperienze di vita. (opzioni) Le lezioni sono ben pianificate. (opzioni) Nella nostra scuola ci si sente i benvenuti. (opzioni) La scuola aiuta gli studenti nel lavorare su punti di forza sia in ambito didattico che sociale bilanciando bene i due aspetti (opzioni) I genitori sono coinvolti nella scuola. (opzioni) La scuola è aperta nell'accogliere idee di miglioramento. (opzioni) La scuola ti ha invitato ad assumerti delle responsabilità nell'ultimo anno (partecipare, supportare, lavorare, impegnarti, ecc). Quanto senti di averlo fatto? Apparirà un messaggio di conferma; clicca OK e poi clicca su "ritorna alla lista".
Hai completato quindi il set up del tuo progetto. Il prossimo passo è invitare i partecipanti – di seguito le istruzioni. Nota su far avere un'anteprima: B. Ottenere il link o Aggiungere ParticipantiHai due opzioni per mandare il link ai partecipanti:
Link PubblicoPer usare la modalità con Link pubblico, clicca sull'icona della "catena" alla destra del nome del progetto, e quindi copia il relativo URL. Lo incollerai nella mail che manderai ai partecipanti (vedi sotto per raccomandazioni). Per fare un check sul questionario puoi cliccare sul pulsante "apri". Per creare un link privato cliccare su "cambia modalità". Con la modalità del link privato, dovrai aggiungere i partecipanti. Per poche persone, inserisci il nome, il cognome e la mail – quindi clicca sul pulsante di aggiunta persona. In alternativa puoi aggiungere i partecipanti caricando un file Excel in formato .xls. Cliccando sul "file di esempio" verrà fatto il download di un form da usare per popolare il file di Excel con i campi necessari. Per caricare il file clicca su "Scegli file" e selezionalo dal tuo computer.
Una volta aggiunte le persone (manualmente o tramite file) vedrai la lista delle persone nel tuo progetto. Nell'esempio sotto, si vede che le persone non sono ancora state invitate a compilare (le icone nella colonna "Invitati" sono rosse). "Jack Sample" ha compilato il questionario (l'icona su "Taken-Compilato" è verde – in questo caso, è stato invitato manualmente cliccando sull'icona della catenina copiando apposito link). Puoi reperire il link privato e univoco di ciascuno, cliccando sull'icona della "catena" sulla colonna Quest.access. Se desideri che le mail siano inviate dal sistema puoi selezionare i partecipanti nella colonna a sinistra cliccando poi sul pulsante sottostante per inviare gli inviti alla compilazione. Potrai personalizzare le mail generate dal sistema prima che vengano inviate. Se usi quindi l'email inviate dal sistema (opzione disponibile sono nel caso di link privato), comparirà un form in cui puoi personalizzare la mail – puoi modificare l'oggetto, l'inizio e la fine della mail. Nella parte centrale, il sistema inserirà in automatico il link univoco per ogni partecipante (puoi inviare quindi a 20 persone insieme, ognuno avendo il suo link personale). |
